For administrators at a school, college or university: use your institution's words, place offices under campuses and colleges in the organization structure, and let each campus or college look after its own part.
Use your institution's words
- Under Manage, choose Settings.
- In the Industry section, set Industry to Education.
- Choose Save all sections.
Screens then say office for a place that ships, campus for the grouping above it, home office for where a person belongs, and Building for your own places in the address book. To use another word, for example "department" for the places that ship, type it in the Terminology section under Word for a place people ship from. An empty box keeps the education word, shown in the box as a hint.
Set Level the reports roll up to, in the Reports section, to Campus so Shipping Analysis totals each campus.
Build campuses and offices
Under Manage, choose Organization Structure. The tree starts with the institution and can have levels such as campus and college, set up with Mercury when you start and listed on the page. The offices that ship, such as Admissions or the Biology department office, sit at the ends.
- Add a campus or college: select the node it belongs under and open Add a node under [name]. Choose the level, give it a code and a name, and choose Create.
- Add an office that ships: select its campus or college and choose Add location here, which opens the Locations form. It shows only where the level allows places. You can also tick This node is a physical place (add its address now) in Add a node under [name]. An office has an address, so nothing can be created under it.
- Move an office: open Move [office name] elsewhere and choose Preview move. It lists what changes under Users in the moved subtree, Classification defaults, Visibility (role scopes), Address books and Approvers. Then choose Confirm move.
Your organization administrator can load many offices or people at once under Manage, Imports.
People and roles
Adding a user is covered in Add a user and choose what they can do. Roles carry your institution's own names, and a person's Job title, such as "Department Coordinator, Biology", shows under their name.
- Someone who ships for one office gets that office as their Home location and a role scoped to it.
- Someone who covers a whole campus or college gets the role with Scope set to A unit and everything below it... and that campus or college chosen, from Add role on their page. New offices added there later are covered automatically.
- A person's Effective access panel shows what they can do today and why.
Let a campus or college look after its own part
Give a staff member the Unit Administrator role, or your institution's name for it, scoped to their campus or college. They manage its users, offices, address books and settings under Users, Locations and Unit Settings. Under Content Catalog they open a catalog and choose which of their offices are offered it. Nothing outside their part appears for them.
Limit what each office can send
Under Manage, Profiles, a profile sets Allowed carriers, Allowed services, Allowed package types and Allowed ship-from locations for a group of people, for example a front office profile with ground and two-day services only. A service outside the profile is not listed on the ship form. For holding expensive or international shipments for a decision, see Shipments that need approval.
