How a bank limits the services and packaging each branch can use, decides who sees prices, holds costly shipments for a manager's decision, and makes sure envelopes of signed documents are always signed for on delivery.

Limit choices with profiles

A profile is what a group of people may ship with. Under Manage, choose Profiles, then New Profile or an existing one. Each profile has four lists:

  • Allowed carriers
  • Allowed services
  • Allowed package types
  • Allowed ship-from locations

A list left empty leaves that choice open. A typical branch counter profile allows two services and the bank's document envelope. A service outside the profile is not greyed out on the ship form. It is not there at all, so an early morning service kept for operations staff never tempts branch staff.

Decide who sees prices

Seeing what a shipment costs is separate from being able to ship it. An administrator sets it for the whole bank under Manage, Settings, in the Cost visibility section, choosing None, Ranking, Price difference or Full. Ranking and Price difference only change the cheaper-service hint on the ship form. Amounts anywhere else need Full or a role that includes costs. Without them, amounts are left out of the screens, the reports and the exported files, not just hidden. See Shipping charges and refunds for late deliveries.

Hold costly shipments for a decision

If your bank uses approvals, an administrator sets the triggers for the whole bank under Manage, Settings, in the Approvals section: a cost over a limit, a declared value over a limit, an international destination, or a restricted service. A unit administrator can set them for their region or branch in Unit Settings, and the shipment's ship-from location decides which value applies. A held shipment goes to the branch manager for that branch. By default a reminder goes out after 120 minutes, and after 240 minutes the request moves up one step, for example to the region manager. The decision is recorded. See Shipments that need approval.

Make document envelopes always signed for

A signature requirement can sit on the envelope or on the place. Both are minimums: a shipper can ask for more, an adult signature, but never less.

On the envelope

  1. Under Manage, open Package Types. Only the organization administrator has this page.
  2. Find the envelope, for example the one used for signed loan documents.
  3. In its Signature column, choose Signature required or Adult signature required (21+). It saves as soon as you choose.

For the bank, a region or a branch

  1. For the whole bank, open Settings and go to the Shipping rules section. An administrator of one region or branch opens Unit Settings instead.
  2. Find Signature on delivery.
  3. Choose Signature or Adult signature, then save. In Unit Settings the button is Save unit settings.

The strictest answer wins. A region that requires a signature cannot be undone by a branch under it. If a shipper picks a service that cannot collect the signature, the shipment stops before anything is created or billed, and the form names the services that can.
