On this page
Where a bank finds who shipped what from which branch, who approved it, who printed or reprinted each label, and what each branch and cost center spent.
The Audit Trail
Open the Insights menu and choose Audit Trail. It appears only for people whose role includes it, so someone in operations or risk can have it without administering anything. Entries cannot be edited from any screen.
Each line says when, who, the area, what happened and the record it is about, with a link to open the shipment or person. The areas are:
- Shipments: labels bought, labels the carrier refused, voids, shipments charged somewhere other than the branch that raised them, and every label or commercial invoice opened, printed, printed again or saved.
- Approvals: held shipments approved or denied, and who decided.
- People and access: accounts created, approved, activated and deactivated, and roles and rights granted or taken away.
- Settings and structure: settings, the organization structure, branches, profiles, package types, carrier accounts, reference rules and the content catalog.
- Imports, Address book, and Exports and bulk actions: who loaded or took out files, how many rows, and what was done to many records at once.
- Support access: shipments Mercury support looked up from a help request. See What Mercury support can see.
Answer a question
- Set the date range, for example the examination period.
- Search by person or by what happened, or filter by area.
- For labels, open More filters and use Labels and invoices: Label prints, Label reprints with the reason given, or Labels and invoices opened or saved.
- Choose Export CSV to hand the list over. The file holds exactly what you are looking at.
Each shipment's own page also keeps its status history, including reprints and their reasons.
Spend by branch and cost center
Open Insights, Shipping Analysis. Choose the date range and what to group by: branch, region or any other level of your structure, cost center, carrier, service, content item, or day, week or month. Every row opens History filtered to the shipments it counted, so any figure can be checked shipment by shipment. A shipment charged to two cost centers is counted under each, and its cost is divided between them so the money still adds up.
Where your bank uses it, finance staff who see costs across the whole bank also get GL export: one line per cost center charge in the date range, with its GL account and amount.
Why each shipment is charged where it is
- The contents decide. An item in the content catalog can carry its cost center, so picking "mortgage closing package" offers to charge the mortgage team, whichever branch sent it. The shipper can change it. Administrators set this under Manage, Content Catalog.
- Branches are offered only their cost centers. A branch sees the cost centers it may charge to, not the whole chart of accounts. Where your bank tracks cost centers, a shipment with none is refused.
- The carrier invoice matches. Under Manage, Carrier References, a reference field can be filled from the cost center so it prints on the label and comes back on the carrier's invoice.
The cost center pages under Manage show, for any branch or region, what it resolves to and which level of the bank supplied it. More on reports is in Reports and the Audit Trail.
