Set up branches, regions and people at a bank

For bank administrators: make Shipping Center use your bank's words, build regions and branches in the organization structure, and give each person the right reach, from one branch to a whole region.

Administration pages are under Manage. You see the ones your rights cover.

Use your bank's words

  1. Under Manage, choose Settings.
  2. In the Industry section, set Industry to Banking.
  3. Choose Save all sections.

Screens then say branch, region and home branch, and reports offer to group by branch. If your bank uses a different word, for example "market" instead of region, type it in the Terminology section. An empty box keeps the banking word, which is shown in the box as a hint.

In the Reports section, Level the reports roll up to names the level of your structure that Shipping Analysis uses when it groups by region.

Build regions and branches

Under Manage, choose Organization Structure. Your bank is a tree: the bank at the top, then levels such as regions or lines of business, with branches and other offices at the ends. Which kinds of level may sit under which is agreed with Mercury when you start. The read-only Structure levels table at the bottom of the page lists it.

  • Add a region or other level: select the node it belongs under and open Add a node under [node name]. Choose its Level, give it a code and a name, then choose Create. Tick This node is a physical place (add its address now) when the node is a place with an address.
  • Add a branch: select its region and choose Add location here (it appears only where a branch can sit under that node), or under Manage, choose Locations, then New Location. A branch has an address, so nothing can be created under it.
  • Move a branch to another region: select it, open Move [branch name] elsewhere, choose the new region and choose Preview move. The preview shows which people, settings, defaults, access, address books and approvers change. Nothing changes until you choose Confirm move, and the move is recorded in the Audit Trail.

To load many branches at once, use Manage, Imports and choose Locations (Code, Name, Address, City, State, ZIP, and optionally Phone and a region). You see a preview before anything loads. Exports from CampusShip and WorldShip are recognized when you import an address book.

A new branch placed under a region picks up that region's settings, address book, carrier account and approvers straight away.

Give each person the right reach

Adding a user is covered in Add a user and choose what they can do. At a bank, three choices decide what a person sees:

  • Home location: the branch they work at. Users shows it as Home location. Their labels come from it unless they choose another branch they may ship from.
  • Role: your bank's roles, for example a branch staff role that ships and a branch manager role that also approves and reports for the branch.
  • Scope: how much of the bank the role covers.

For someone who covers a whole region, open their page under Users, find Add role on the Access card, choose the role, set Scope to A unit and everything below it..., pick the region and choose Add. One grant covers every branch in the region, including branches added later.

The Effective access panel on a person's page shows what they can do today and what decided it.

Let a region or branch run its own part

Give someone the Unit Administrator role, or your bank's name for it, scoped to a region or a branch. They then manage the users, branches, address books and settings of that part only, under Unit Settings, Users and Locations. Anything outside their part does not appear for them. They cannot grant more than they hold.

What each person can check

Anyone can open the My Account menu and choose My shipping locations to see every branch they may ship from and why. See Why you do not see a menu, button or price.
